Ref Pro Group Privacy Policy

The referee assigning platform is operated by Ref Pro Group, LLC. This policy explains how information is collected, used, disclosed, retained, and protected when you use Ref Pro Group.
Information We Collect
We may collect contact information, officiating profiles, dates of birth, certifications, training, availability, assignments, performance or mentor notes, payment records, communications, and technical delivery information needed to operate the service.
Children’s Privacy
For an Iowa Soccer referee who is under 13, Ref Pro Group first collects only the child’s name and date of birth and the parent or guardian’s name and email so that we can request parental consent. We do not continue registration, collect the child’s remaining profile information, or allow payment until the parent or guardian reviews and electronically signs the consent form.
After consent, Ref Pro Group may collect the child’s email, phone, address, certifications, training records, availability, assignments, program communications, mentor or performance notes, and payment records. We use this information only to register and administer the child’s participation as a referee, determine eligibility, provide training, assign games, communicate operational information, maintain safety and program records, and process payments. Ref Pro Group does not authorize behavioral advertising using children’s information or sell children’s personal information.
Parents may request to review their child’s information, revoke consent, refuse further collection or use, or request deletion by emailing assignments@ref-assign.com. We may ask for information needed to verify the requester’s identity. Revoking consent may prevent the child from continuing to use Ref Pro Group or participate through the program. If consent is not received within a reasonable time, the pending parent contact and child name information will be deleted.
How We Use Information
We use information to provide Ref Pro Group services and communicate about assignments, confirmations, changes, cancellations, reminders, registration, training, program administration, payments, support, safety, and legal compliance.
Sharing and Service Providers
We do not sell or rent personal information. Limited information may be shared with authorized program administrators, registrars, assignors, mentors, and game participants when needed to operate the referee program. Service providers may process email, text messages, hosting, authentication, documents, and payments solely to provide Ref Pro Group services.
Text Message Consent
By providing a mobile number and opting in, you consent to operational SMS messages from Ref Pro Group. Message frequency varies; message and data rates may apply. Reply STOP to opt out or HELP for assistance. Mobile information and SMS consent are not shared for third-party marketing.
Retention and Security
We retain information only as reasonably necessary to provide services, maintain operational and legal records, resolve disputes, and enforce agreements. We use reasonable administrative, technical, and organizational safeguards, although no system can guarantee absolute security.
